What to Do When the Buyer Does Not Buy From You.

A buyer who purchases elsewhere can still remain a valuable contact. Update the CRM and keep the relationship relevant.

Not every buyer will purchase through your agency.

That does not mean the relationship should end.

Update their status.

If the buyer purchases elsewhere, update the CRM so they are no longer treated as an active buyer.

Where known, record:

  • Property purchased

  • Suburb

  • Purchase date

  • Whether it will be their home or an investment

  • Any future property plans

Keep the history.

Do not delete the buyer simply because they bought through another agent.

Their previous enquiries, inspections and conversations are still useful history.

Change the relationship.

The buyer may now become:

  • A local homeowner

  • A future seller

  • An investor

  • A landlord

  • A past contact worth keeping

Their CRM category or tags should reflect the new situation.

Follow up appropriately.

A simple congratulations or check-in may be enough.

There is no need to continue sending buyer alerts or chasing them about properties they no longer need.

Future contact might include:

  • Relevant local market updates

  • Recent sales nearby

  • Property value updates

  • Investor information

  • A future appraisal

Record the property connection.

If they have bought locally, link them to the property where appropriate.

That property may become relevant again years later.

A clear follow-up workflow.

1. Confirm the outcome

Record that they have purchased and close any active buyer tasks or property alerts.

2. Update the contact

Add the property they bought where known and update their category or tags.

3. Make a simple check-in

A short congratulations call, SMS or email is usually enough.

4. Set a future follow-up

Depending on the relationship, this might be:

  • A settlement check-in

  • Contact in six months

  • A property anniversary

  • A local market update

  • A future appraisal

5. Adjust future communication

Do not keep treating them as an active buyer.

Make sure future contact matches their new situation.

Keep the relationship useful.

A buyer who did not purchase from you today may still become a seller, investor, landlord or referrer later.

The important thing is to update the CRM and keep the relationship relevant rather than letting the contact disappear.
