What Makes a Useful CRM Contact Record?.

A useful contact record gives you enough information to understand the person, their property connection and what should happen next.

A contact record should help you understand the person quickly.

It does not need to be overloaded with information. It needs to contain the right information.

Start with accurate details.

At a minimum, check:

  • Name

  • Mobile

  • Email

  • Address

  • Preferred contact method

Outdated or incomplete details make the record less useful.

Record the property connection.

In real estate, the property connection matters.

The contact may:

  • Own a property locally

  • Be looking to buy

  • Have sold through the agency

  • Own an investment property

  • Have requested an appraisal

These links help build a clearer picture of the relationship.

Add useful context.

Short notes can make a big difference.

For example:

  • Planning to sell next year

  • Looking for a three-bedroom home

  • Investor focused on [area]

  • Needs to sell before buying

  • Wants an updated appraisal in six months

The aim is to record information that will help with the next conversation.

Keep the history clear.

A useful contact record should show important activity, such as:

  • Enquiries

  • Calls

  • Emails

  • Open homes

  • Appraisals

  • Offers

  • Follow-up

You should be able to see how the relationship has developed.

Make the next action clear.

If follow-up is needed, record it.

A contact record is much more valuable when it tells you not only what has happened, but what needs to happen next.

Keep it practical.

Do not fill fields simply because they are there.

A useful CRM record should answer three questions:

  • Who is this person?

  • What is their connection to property?

  • What should happen next?

If it does that clearly, the record is doing its job.
