Handling Cancelled or Withdrawn Campaigns.

Not every campaign runs through to settlement. Your agency needs a clear process for what happens next.

Not every campaign runs through to settlement.

A property may be:

  • Withdrawn from sale

  • Taken off the market temporarily

  • Moved to another agency

  • Cancelled before launch

  • Removed after marketing has already started

The agency needs a clear process for what happens next.

Check what has already been ordered.

Start by reviewing:

  • Photography

  • Floorplans

  • Portal advertising

  • Signboards

  • Social media

  • Print

  • Styling

  • Video

  • Other supplier work

Some costs may already be committed even if the campaign has stopped.

Confirm what is still payable.

A cancelled campaign does not automatically remove marketing costs.

Suppliers may already have completed the work.

Check:

  • Supplier terms

  • Vendor approval

  • Agency agreement

  • Payment method

  • Property.Credit terms where relevant

Do not make assumptions.

Stop future costs quickly.

As soon as the campaign is withdrawn, check whether any future costs can be cancelled.

This may include:

  • Scheduled print

  • Future social advertising

  • Styling extensions

  • Extra photography

  • Signboard production

  • Portal upgrades not yet activated

Act quickly to avoid unnecessary spend.

Update the vendor.

Give the vendor a clear breakdown.

Show:

  • Costs already incurred

  • Costs cancelled

  • Any credits

  • Amounts still payable

  • Payment method

  • Any Property.Credit obligations

Keep the explanation factual.

Property.Credit considerations.

If Property.Credit has been used, the agency should check the provider’s current process for:

  • Withdrawn campaigns

  • Unsold properties

  • Outstanding balances

  • Repayment timing

  • Any changes to the original arrangement

Do not guess about what happens next.

Keep records.

The property file should show:

  • Date the campaign was withdrawn

  • Vendor instruction

  • Supplier cancellations

  • Final invoices

  • Credits

  • Outstanding amounts

  • Payment status

This makes the final reconciliation easier.

Agent Action Plan.

1. Stop unnecessary spend

Cancel future work where possible.

2. Review committed costs

Check what has already been supplied or ordered.

3. Reconcile the campaign

Prepare the final cost position.

4. Explain the outcome to the vendor

Show what is payable and why.

5. Check Property.Credit if used

Use current provider information.

6. Close the file properly

Make sure all invoices, credits and payments are recorded.

A cancelled campaign should still have a clear financial close-out process.
