Creating an Open Home Follow-Up Workflow.

A clear open home workflow helps turn registrations into useful buyer records, better feedback and future opportunities.

Open home follow-up should start with good registration and finish with a clear next action.

The CRM should help keep that process consistent.

Start with registration.

Record:

  • Name

  • Mobile

  • Email

  • Property inspected

  • Date of inspection

Where relevant, also capture:

  • Buying timeframe

  • Budget

  • Preferred areas

  • Whether they need to sell first

Check for an existing CRM record before creating a new one.

Record feedback.

After the inspection, update the record with useful feedback.

For example:

  • Interested

  • Too small

  • Wrong location

  • Outside budget

  • Wants something newer

  • Needs to sell first

This information helps with both vendor feedback and future property matching.

Separate the contacts.

Not every attendee needs the same follow-up.

They may be:

  • Serious buyers

  • Interested buyers

  • Buyers who have ruled the property out

  • Future sellers

  • Neighbours

  • Past clients

The CRM should help identify the difference.

Set the right follow-up.

A serious buyer may need a call the same day.

Someone who ruled the property out may simply need their requirements updated.

A future seller may need an appraisal conversation or a later follow-up.

Match the next action to the person.

A simple open home workflow.

Registration → Match or create contact → Link property → Record feedback → Update buyer requirements → Identify seller opportunity where relevant → Set next action → Add follow-up date

Automate the useful parts.

Your CRM may be able to automate:

  • Registration into the CRM

  • Duplicate checking

  • Linking the contact to the property

  • Agent notifications

  • Follow-up tasks

  • Buyer alerts

  • Feedback reminders

The conversation itself should still feel personal where it matters.

Same-day follow-up checklist.

Before the day ends, check that you have:

  • Reviewed all attendees

  • Contacted serious buyers

  • Recorded buyer feedback

  • Updated buyer requirements

  • Identified anyone who needs to sell first

  • Recorded any future seller opportunities

  • Added useful notes

  • Set the next action for genuine opportunities

  • Added follow-up dates

  • Checked for duplicate contacts

  • Made sure property alerts are still relevant

The goal is to finish the day with the CRM reflecting what actually happened at the open home.

Review after the open home.

Before closing the inspection activity, check:

  • Have serious buyers been contacted?

  • Has buyer feedback been recorded?

  • Have requirements been updated?

  • Have future sellers been identified?

  • Does each genuine opportunity have a next action?

  • Are any contacts duplicated?

A good open home workflow should leave you with better information, not just a longer attendance list.
